Fuji Xerox has developed the Apeos PEMaster 2.0 series software that helps companies reform their business operations and reinforce corporate structure. Sales will begin in mid-March 2010.

The Apeos PEMaster 2.0 series is a suite of software for assisting enterprise risk management (ERM) as well as business process management (BPM). In addition to the previous version’s features such as visualization of financial risks to assist auditing for Japanese version of Sarbanes-Oxley Act (J-SOX) compliance, the new software suite offers the following functions:

Enables centralized monitoring of improvement activities in various areas including the environmental management and information security to easily grasp risks involved in individual work operations and their progress. Also, examines the status of pre-defined key performance indicator (KPI) as well as key risk indicators (KRI) together with substantiating documents.

Visualizes the work status of individual employees including the exchange of paper-based documents, which cannot be managed by mission-critical systems. Also links and manages multiple mission-critical systems which are separate by each operation.
Provides the overall picture of projects undertaken by members at multiple organizations or operation bases, and identifies their progress in real time, which enables early detection and handling of delivery delay risk, and allows managers to eliminate unnecessary steps for recognizing the status of work processes.

With these new functions, the Apeos PEMaster 2.0 series not only caters to requirements under J-SOX but also highlights “risks” and “waste” from company-wide perspectives so as to enable continuous initiatives for improving business operations and reinforcing corporate structure, resulting in corporate value enhancement.

The software suite consists of five applications with different roles. With a combination of the applications and its systems engineersÂ’ services, Fuji Xerox delivers best suited solutions to diverse industries including financial services, manufacturing, trading companies, service industry and government sectors.

Background
Today, companies need to strengthen corporate governance to fulfill social responsibilities while also building up competitiveness to survive the tough economic environment. Many companies are promoting improvement initiatives on various themes including reducing environmental impact and reinforcing security, so as to address legal provisions under the Financial Instruments and Exchange Act, as well as requirements for consumer protection and environment consciousness.

This has left information on individual activities scattered across the company, making it difficult to make optimum business judgments, which undermines competitiveness. While the introduction of mission-critical systems for corporate activities such as procurement and production management has streamlined these activities, it made it difficult to accurately grasp where risks and waste lie within a company and to achieve effective and efficient improvements, as each activity is controlled independently by the systems. The new software helps companies centrally manage all risks and waste and conduct company-wide improvement activities.

Five applications of the Apeos PEMaster2.0 series

Apeos PEMaster PDCA Manager 2.0
This application assists continuous improvement initiatives, which involve visualizing the current status and conducting PDCA (Plan-Do-Check-Act), through communication with frontline staff. Among functions featured are compiling documents to build management systems including internal control, monitoring substantiating documents, preparing/implementing surveys for identifying risks, collecting the survey data and evaluating the status of internal control. These functions visualize work processes and control the PDCA cycle until surfaced issues are resolved.

Apeos PEMaster Evidence Manager 2.0
This is a document database for managing records and substantiating evidence associated with the internal control.
The application manages/stores all types of documents related to corporate activities, defines processes that cannot be clearly defined as activities in a workflow, and visualizes/analyzes interactions in meetings/enquiries, leading to business improvement.

Apeos PEMaster Evidence Entry 2.0
This application efficiently names and attributes to records/substantiating documents for digitization, and stores them in a document database such as Apeos PEMaster Evidence Manager. In addition to electronic documents, the application links with digital multifunction devices ApeosPort series, and allows users to directly access the document database from the devices’ control panel for smooth and secure registration of paper-based documents.

Apeos PEMaster Evidence Tracker 2.0
This application checks whether records and evidence documents are securely stored in a document database such as Apeos PEMaster Evidence Manager, and monitors the work progress.
The status of document registration in individual work processes is graphically displayed to enable users to instinctively grasp the work flow and its progress. The application collects records and substantiating evidence in the course of day-to-day work, and displays the summary to swiftly address any situations of accountability.

Apeos PEMaster Manual Weaver 2.0 (Already in the market since November 2009)
This application assists a series of work for compiling and publishing work manuals and internal regulations.
It streamlines work processes for the revision, approval, history/version management and online posting of documents in template formats, including company codes, internal rules and work manuals. When a law revision directly necessitates the change of internal rules, the application presents associated risks to prevent revision oversight for accurate version management.
