Ricoh Products Equipped With FabSoft Modular Object Scanning Technology 2.0

Wednesday 06. February 2008 - Enhanced Document Routing and Security Controls Now at the User's Fingertips

Ricoh Americas Corporation, a leading provider of digital office equipment, today announced the availability of FabSoft’s Modular Object Scanning Technology 2.0, a plug-in for FabSoft’s core product, Reform. Exclusive to Ricoh multifunctional products (MFPs), this advanced scanning solution is built on a customizable framework that enables users to tailor the solution to meet their respective document workflow needs.

With a “what you see is what you get” design tool, this Reform plug-in features an adjustable MFP display screen that can be modified for each department or group to ensure the appropriate tabs and distribution commands are readily accessible. Among the distribution options is the ability to scan to a networked printer where the user manages the finish controls. Scan to fax or email systems are available as well. Since information stored in a company’s database is available at the MFP screen, users can select previously used fax cover templates or search through fax numbers and email addresses.

The Form Filler + feature of this Reform plug-in enables access to a library of electronic forms that can be effortlessly populated by looking up the appropriate contact information at the MFP screen. Once completed, the forms are intelligently distributed to various devices. Reform also easily integrates with Ricoh third party products and, more specifically, Ricoh’s storage solutions such as DocumentMall and eCabinet, allowing users to configure their documents to be automatically archived.

FabSoft Modular Object Scanning Technology 2.0 is designed to deliver proficient and convenient document workflow to small- and medium-sized companies,” said Gary Hollfelder, FabSoft. “These businesses will find that with this solution they can distribute and store documents with greater ease and achieve a higher level of productivity.”

Modular Object Scanning Technology 2.0 offers features to meet the imperative information security needs of business today, particularly in the healthcare, government, insurance and legal market industries. From 512-bit encryption for all communication between the MFP and the server to the encryption of all login requests, data transfers and scanned documents, this solution ensures that a company’s information is effectively protected. Furthermore, the scan to email option can send the document as a PDF and users are able to set PDF options such as user defined passwords, encryption, access rights and more.

Ricoh and FabSoft understand that just as important as ensuring the security of documents is their delivery. Therefore, Reform performs intelligent enterprise-wide load and error balancing so inoperable or busy devices are bypassed. The monitoring of the flow and delivery of scanned documents is made possible with Reform’s track-able scanning feature. Real- time status logs are also available on the MFP screen or on a Web server to enable users the ability to check the delivery status of their documents as well as modify controls so the user can assist in the document delivery.

Being that cost efficiency is top of mind of many organizations, Reform also provides reports on device usage and activity. An ideal feature for cost accounting purposes, the monitoring of individual, group or device usage can help companies identify unnecessary activity and eliminate it. Additionally, Modular Object Scanning Technology 2.0 offers proximity swipe card access that presents an account monitoring advantage as well as a security benefit by authenticating the user so that a document is not released until they are at the MFP.

“With Modular Object Scanning Technology 2.0, a superior, scalable solution, businesses can more efficiently realize enhanced document management capabilities while better safeguarding the distribution of shared information,” said Hede Nonaka, senior vice president, Document Solutions and Services Division (DSS), Ricoh Americas Corporation. “A part of Ricoh’s technology alliance program, the value-add FabSoft solutions provide to Ricoh products is invaluable and we look forward to sharing this with our customer base.”
