Greater convenience and efficiency
Wednesday 22. December 2010 - Any solution that saves time and increases workflow efficiency is good for business in busy offices. Two new office document applications from DEVELOP, Personal Print and Personal Scan, not only bring greater convenience and efficiency in printing and scanning but also save time, effort and ultimately money. Personal Print makes personal printing on a shared system possible while Personal Scan simplifies the delivery of scanned documents.
Personal Print: simple pull printing application
Shared departmental printing systems offer the advantage of powerful functionality but can be a time-wasting bottleneck when several users want to print at the same time – especially if a multi-page manual is already being printed. The freedom to print when and where a user wants is vital to workflow efficiency in office environments with shared print systems. The answer is pull printing, a function that enables users to avoid any delays in a shared system. Personal Print, a small-scale OpenAPI-based application for secure document output management, makes pull printing possible in a Windows environment. Personal Print is also a highly affordable solution since it comes on its own without a bundle of other functions, as it is frequently the case.
Personal Print gives users the flexibility of a desktop printer and the powerful functionality of a shared departmental device with its cost-efficient page prices. The application works by first storing a print job on a central print server so users can choose which Personal Print-enabled printer they want to use. To have a job printed out, all they have to do is authenticate themselves at the system of their choice. Personal Print then provides a personalised print job list with thumbnails supplying an overview of job contents and more detailed information available on request. Users can then choose to print either a single job or multiple ones. Personal Print saves businesses money by cutting out the wastage caused by print jobs being sent to two print systems (if one is blocked) and boosts security by ensuring no document is released without the user’s permission.
Personal Scan: convenient delivery
Logistics is just one of the industries where a simple storage and multi-user forwarding solution for scanned documents can save time and improve efficiency. Personal Scan, another small-scale, OpenAPI-based application, is a server-based solution that allows users to forward scanned documents from a DEVELOP multifunctional device to any destination pulled from the Windows Active Directory they have access to. Once users have authenticated themselves at the multifunctional device, they can see which directories they are authorised to use and access their own address book via the Directory. This avoids any possible mistakes in manually inputting addresses since every address is selected and copied straight from the user’s address book. Accordingly personal Scan is also a real time-saver as well as being simple and safe to use.
Moreover, this server-based application brings network administrators several benefits. Besides being easy to install and maintain, Personal Scan allows an administrator to define users’ rights, authorise access to the corresponding directories, update address books via the Windows Active Directory and determine which types of documents can be scanned in colour or black and white and in what resolution. In this way an administrator can control and monitor storage volume.
Personal Print and Personal Scan are undoubtedly a worthwhile investment for businesses looking for added convenience and greater efficiency in multi-user printing and multiple-delivery scanning for favourable pricing.
