Ricoh advances paperless medical records with new Ricoh MFP for Healthcare featuring Inofile ChartMD

Thursday 07. March 2013 - Solution dramatically accelerates conversion of patient charts from paper to electronic form

In a major step toward paperless healthcare, Ricoh Americas Corporation unveiled the Ricoh Multifunction Product (MFP) for Healthcare with Inofile ChartMD today at the HIMSS 2013 Annual Conference and Exhibition in New Orleans in booth #1361.
The integrated hardware/software solution streamlines the conversion of loose filings and patient charts – such as consent forms, lab results, treatment forms, physician notes and order requests – into digital files ready for upload to electronic medical records (EMR) systems. In general, 80 percent of information captured is in unstructured, paper-based forms/input.[1]
Using the Ricoh MFP for Healthcare with Inofile ChartMD, healthcare staff can scan an entire room of patient charts or capture batches of loose documents on demand. With a tap on the screen, users separate the electronic batches by patient and, with a second tap, index them to established EMR-friendly patient files. As documents are scanned and indexed, charts are exported to an EMR-ready file structure for easy retrieval at the point of care. The solution streamlines workflow whether a facility has an EMR system or is preparing for one down the road. It also reduces the costly burden of maintaining, filing, retrieving and refilling paper charts.
“Facilities that have invested in EMR systems are discovering that paper hasn’t gone away,” said Michael Campana, Senior Manager, Healthcare Marketing, Ricoh Americas Corporation. “When records start life as unstructured paper documents, they linger in that state and pose the very inefficiency problems the EMR was intended to solve. We’re closing that loop by accelerating the transformation from paper to digital early in the document lifecycle. Once records are electronic, facilities save time, money, effort and errors downstream. Most importantly, providers have more patient information at their fingertips.”
More powerful than document scanning
The Inofile ChartMD solution, available now on any Ricoh MFP for Healthcare, enables healthcare facilities to quickly and easily configure their MFP display with a “document type” drop-down list that mirrors the structure of patient charts in the office. The solution helps reduce the laborious, time-consuming, error-prone process of single-sheet scanning. Office managers no longer have to use a PC to manually retrieve scanned documents from the file system, index them one by one and move the scanned documents to new locations.
“Beyond being a powerful front end for digitizing documents for the EMR, the device provides a full range of printing, copying, faxing and connectivity,” said Daniel J. Faricy, Senior Vice President of Marketing and Finance for Inofile. “Every office needs this type of device; however, many aren’t able to unlock its full potential where it could be most beneficial, especially in healthcare settings. ChartMD creates structured documents that can seamlessly be uploaded through the import function of the EMR, or integrated directly to the EMR using Inofile EMR Connectors. This enables your versatile Ricoh device to save you time and effort while completing your patients’ medical records.”
The Ricoh MFP for Healthcare with Inofile ChartMD includes security features, such as individual authentication codes and data lockdown when users abandon a job midstream, that help customers meet their HIPAA obligations. It also targets the problem of incomplete medical records across the healthcare continuum.
The Inofile ChartMD solution comes embedded in the entire range of Ricoh MFPs for Healthcare. Activated ChartMD costs $20 per month.
